Condolence entries
When you write an entry, we process the data you provide (name, optionally company or place, message, e-mail address) on the basis of your consent (Art. 6(1)(a) GDPR). Only your name, the optional company or place, and your message are published — never your e-mail address. All entries are reviewed editorially before publication.
The entries are also included in a printed book of remembrance that will be given to the family of the deceased. If you selected “family only”, your message will not be published but passed on exclusively to the family.
We use your e-mail address only to send you a confirmation with a deletion link, to inform you when your entry is published or passed on to the family, and to contact you with questions regarding moderation.
Memory photos
You may attach photos to your entry. Photos are never published; they are passed on exclusively to the family of the deceased and may be included in the printed book of remembrance. When you upload a photo, we automatically remove all metadata contained in the file (such as the place where it was taken and camera data). By uploading you confirm that you are entitled to share the photos and that the people shown agree. If you withdraw your entry, your photos are deleted as well.
Withdrawal
You may withdraw your consent at any time — most easily via the deletion link in your confirmation e-mail, or via the contact address given in the imprint. Your entry and your personal data will then be deleted. For the printed book, withdrawal is effective until the book goes to print; a book that has already been printed can no longer be changed. The lawfulness of processing before withdrawal remains unaffected.
Abuse prevention
To fend off automated submissions we store a pseudonymised, non-reversible identifier of your IP address for a maximum of seven days (legitimate interest, Art. 6(1)(f) GDPR). Server access is logged with truncated IP addresses for a maximum of seven days.
Retention
- Pseudonymised IP identifier: 7 days
- Unpublished (declined) entries: 30 days
- Published entries: until the end of this page's online phase; the database is deleted no later than 4 weeks after shutdown
- Server logs: 7 days
- Backups: 30 days, then automatic deletion
Recipients and hosting
The page is hosted by DIREKT HIER Online Marketing Agentur on servers located in Germany; a data processing agreement is in place. The family of the deceased receives the entries in the form of the printed book of remembrance; non-public messages are handed to them directly. No data is transferred to third countries.
Your rights
You have the right of access, rectification, erasure, restriction of processing, data portability, and the right to lodge a complaint with a data protection supervisory authority. Please use the contact address given above.
